Copilot Studio HR Contract Automation Tutorial
Copilot Studio HR contract automation — built live, errors and all. In this full tutorial, I design an AI agent that generates personalised HR contract documents using Power Automate, SharePoint lists, and a Word template. This is a real end-to-end build: from creating placeholders in Microsoft Word, to filtering SharePoint data with OData, to connecting a cloud flow as a tool inside Copilot Studio. You’ll see the thought process, the mistakes, and how to fix common issues like unwanted Apply to Each loops. As a Microsoft Cloud Solution Architect and former Microsoft MVP, I focus on practical, tenant-friendly approaches using SharePoint lists instead of Dataverse—so you can replicate this in most Microsoft 365 environments. 🔎 What You’ll Learn: 1️⃣ How to design a dynamic HR contract template in Microsoft Word using placeholders. 2️⃣ Building structured SharePoint lists for job roles and job locations (with system column names explained). 3️⃣ Generating sample job data using Copilot and importing it correctly into SharePoint. 4️⃣ Creating a Power Automate flow with manual trigger inputs for applicant name, address, role, grade, and location. 5️⃣ Using “Get Items” with OData filter queries to dynamically retrieve job descriptions and location details. 6️⃣ Fixing Apply to Each loop issues using expressions instead of dynamic content tokens. 7️⃣ Saving generated contract files to SharePoint with unique naming conventions. 8️⃣ Connecting the flow as a tool in Copilot Studio and building a structured topic to control the agent’s output and file response. ⏱️ Timestamps: 0:00 Introduction and Live Build Overview 3:30 Creating the HR Contract Template 8:00 Building SharePoint Job Roles List 11:30 Generating Sample Job Data with Copilot 16:00 Creating Job Locations List 20:30 Preparing to Build Power Automate Flow 22:00 Setting Up Flow Trigger and Inputs 28:30 Configuring Word Template in Flow 33:00 Designing Flow Input Parameters 35:30 Using Get Items with OData Filters 43:00 Retrieving Location Data and Expressions 49:00 Creating and Saving Contract File 58:00 Introduction to Copilot Studio Agent 71:00 Connecting Flow as Agent Tool 89:00 Building Structured Topic for Contracts This walkthrough demonstrates how Copilot Studio, Power Automate, SharePoint, and Word work together to deliver real-world document automation inside Microsoft 365. #CopilotStudio #PowerAutomate #PowerPlatform #MicrosoftCopilot #SharePoint ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 👋 About Damien Bird Microsoft Cloud Solution Architect | Former MVP & Forum Super User Helping you automate, build, and innovate with Power Platform & AI 📚 Explore & Learn: 🏫 Join the Community: https://www.skool.com/damobird365-agents-flows-7462/about 🔗 Blog: https://DamoBird365.com 🎥 Video & Quiz CPD: https://DamoBird365.com/YouTube 📜 Feedback or Request: https://forms.office.com/e/WAV1iF2Wis 💖 Support & Connect: 🤝 Become a Member: https://youtube.com/@DamoBird365/membership ☕ Buy Me a Coffee: https://BuyMeACoffee.com/DamoBird365 💼 LinkedIn: https://LinkedIn.com/In/DamoBird365
