Projects, One-Off Tasks, and Upkeep have different needs within a planning and productivity system. "One Trusted System" can be made up of different parts. Lately I’ve been paying more attention to what kind of work I’m asking a system to hold, rather than how simple it looks on paper. In this State of the System check-in, I walk through how I’m currently separating projects, one-off tasks, and upkeep... and how that separation is affecting clarity, follow-through, and friction. This isn’t a step-by-step setup or a recommendation to use specific apps. It’s a look at how I’m thinking about the work itself, what each category actually requires, and how smaller, purpose-built containers are helping my system feel more usable in day-to-day life.
