Get it in writing — always. If it’s not in writing, it didn’t happen. Every rental should have a signed rental agreement, even for friends and family. This protects you, your gear, and your time. 2. Include the non-negotiables: client name, contact, and event details (date, time, venue) Exact items rented (quantities, conditions) Rental fees + any delivery/setup fees Payment schedule and cancellation policy Security deposit + damage policy Late return *if offered* theft, or weather clauses Signature and date 3. Require a deposit to hold the date. No deposit? No reservation. This filters out flakes and gives you leverage. 4. Use damage waivers or insurance options. 5. Set delivery boundaries. Are you setting up? Curbside only? Stairs or elevator? Spell it out. Charge accordingly. 6. Take “before” and “after” pics. Photos protect you from false damage claims or “it didn’t look like that” complaints. 7. Keep everything digital. 8. Don’t skip the cancellation clause. Life happens. But your calendar is a business. Have a refund window, rebooking fee, or no refund policy — just make sure it’s written and signed. 9. Know your local laws. In some states, you may need a business license, a resale permit, or sales tax collection. Better to check now than get a fine later. 10. Protect your power moves. This is a real business. So treat it like one.
