HOW TO UPDATE MASTER SCHEDULE/PROGRAM IN PRIMAVERA P6

Often the program/schedule for the Project is compose of individual program from different subcontractors and/or packages. The Main-Contractor creates the MASTER SCHEDULE by incorporating standalone program from other subcontractors and establish the links between Main-Contractor and other subcontractors. It is lengthy task and take considerable time and efforts from the Main-Contractor. After establishing the Master Schedule, the next task is to establish the methodology for the periodic update of the master schedule. It can be done by forwarding the program to each subcontractor to update their part and then pass-on to others for their updates, it takes considerable time as once one contractor is doing it the others are waiting for it, in addition to this there may be possibility that any subcontractor can modify the master-schedule link and logic, which is very difficult to trace out with extremely short time for the Main-Contractor. To expedite the above procedure, it is best practice (in my opinion) to establish the date/time of submission of the weekly/monthly reports by each subcontractors and then the Main-Contractor will prepare the overall Status report of the project and update the Master Schedule according to the individual update of each subcon, additionally there will be confidence that the original logic and links are not disturbed. Main-Contractor can formalize the method to control the subcontractor, for example establish ACTIVITY CODES to trace individual subcon inside the Master-Schedule and their impact on Scheduled date of completion. Primavera P6 command i.e. IMPORT and EXPORT is the excellent tool to update the Master-Schedule from the subcontractor's updated program, in addition the EXCEL plays a vital role to expedite the process. the Excel command of "MATCH", "INDEDX", "EXACT", copy and paste as FORMUAL and as VALUE is the great help for the engineers. After updating all the values from the subcon updates, save the master file and import it back to primavera, it will update all the values including PERFORMANCE % COMPLETE and finally run the program to determine the SCHEDULE % COMPLETE and FORECAST date of completion.
